About the role
This hybrid role blends the sharp coordination of an Executive Assistant to CEO with the strategic thinking and momentum-driving support of an Account Coordinator. You’ll work closely with the CEO and agency leadership to streamline priorities, manage day-to-day rhythms, and bring focus to high-impact initiatives. At the same time, you’ll be deeply engaged in client work, supporting a diverse variety of accounts, conducting research, identifying strategic partners, and building materials that move the work forward.
This role is ideal for someone who thrives on both structure and spontaneity, balancing inboxes and calendars one moment, then diving into creative brainstorms or shaping outreach strategy the next. You’ll be a go-to force across internal operations, external communications, and client work.
What You’ll Do
Executive Operations
- Manage and optimize the CEO’s calendar, inbox, contacts, and daily priorities.
- Help drive internal meetings, agendas, and action items.
- Keep projects on track by owning timelines, scheduling, and key follow-ups.
- Help maintain internal tools (e.g., project plans, status trackers, timelines)
Account Support & Client Services
- Be a go-to point of contact for internal teams and support day-to-day client communications.
- Help keep projects moving: track deliverables, draft agendas, manage follow-ups, and ensure key details don’t fall through the cracks.
- Support meeting logistics: scheduling, note-taking, and capturing next steps to keep momentum strong.
- Build and format decks, memos, and reports that clearly communicate updates and ideas.
- Anticipate needs, surface potential roadblocks, and help drive toward creative, strategic solutions.
- Collaborate with internal teams to align deliverables with client objectives and timelines.
- Track outreach and engagement efforts across multiple client accounts.
Strategic Research
- Identify brand partnership prospects aligned with client and agency goals.
- Conduct research using LinkedIn, news alerts, databases, and CRM tools.
- Monitor industry trends, competitor activity, and cultural moments to support client strategy.
What We’re Looking For
- 2–3 years of relevant experience in account coordination, project management, executive support, or strategic research.
- Strong communication and time management skills.
- Exceptional attention to detail and ability to prioritize competing tasks.
- Interest in marketing, brand strategy, and the business of culture.
- Experience in fast-paced agency, nonprofit, or entrepreneurial settings preferred.
- Proficiency with Google Suite, project management tools, and CRMs (HubSpot experience a plus).
- Confident in both independent execution and cross-team collaboration.
What You’ll Gain
- Direct experience supporting the CEO of a growing agency and exposure to high-level strategic planning.
- Hands-on client work across industries—entertainment, philanthropy, fashion, hospitality, lifestyle, and more.
- Mentorship, autonomy, and ownership that grows with your strengths.
- A seat at the table across internal planning, external communications, and strategic development.
- Opportunity to evolve the role into a more senior leadership, operations, or client-facing position.
