Job Description

A private international family office based in New York City is looking to hire a thoughtful, highly organized Executive Assistant to support day-to-day operations, scheduling, coordination, and select personal/family-related matters.

This is a high-trust role suited for someone who is discreet, proactive, detail-oriented, and exceptionally organized. The ideal candidate can manage multiple priorities, keep track of follow-ups, maintain order across calendars, documents, vendors, and workflows, and add value without needing constant direction.

The role will have busy periods as well as some downtime, so we are looking for someone who is comfortable operating independently, staying organized, and being proactive in a small, entrepreneurial environment.

Responsibilities may include:

• Managing calendars, meetings, travel, expenses, and day-to-day logistics

• Coordinating with advisors, vendors, service providers, and counterparties

• Tracking follow-ups, reminders, deadlines, and open items

• Helping organize documents, files, presentations, and internal workflows

• Supporting office administration and light office management

• Assisting, when needed, with personal and family-related scheduling, logistics, and coordination

• Handling confidential information with discretion and professionalism

Ideal candidate:

• Prior experience as an Executive Assistant, Personal Assistant, Office Manager, Office Coordinator, or similar role

• Excellent organizational skills, attention to detail, and follow-through

• Strong written and verbal communication skills

• Good judgment, discretion, and reliability

• Comfortable with both professional and occasional personal/family-related tasks

• Experience in finance, investment management, family office, legal, or professional services is a plus

• PowerPoint / presentation creation experience is a plus

• Comfortable working across time zones and with international contacts is a plus

Schedule:

The role is expected to be in office four days per week, with one remote day per week, unless otherwise agreed in advance on a week-to-week basis.
