Position Overview
The Founder’s Executive & Personal Assistant is a hybrid role supporting the Owner/Founder of Evergreen Restoration in both business and personal capacities. This position combines executive assistant duties, office coordination, personal assistant responsibilities, and in-town driving so the founder can focus on high-value work. You will help manage schedules, answer phones, coordinate logistics, handle personal tasks, and often drive the founder to job sites and meetings while working from the car. This is a trusted role with high visibility and impact in a fast-paced restoration startup environment.
What You’ll Do
Executive & Business Support
- Manage the founder’s calendar, schedule meetings, and help prioritize time around the most important activities.
- Answer and route business calls during business hours, take detailed messages, and ensure prompt follow-up with customers, vendors, and partners.
- Draft and send emails, texts, and basic correspondence on behalf of the founder when directed.
- Help maintain light CRM and job tracking tasks (e.g., updating customer info, logging calls, capturing notes from meetings).
- Organize digital files, job folders, and documentation so information is easy to find and audit-ready.
- Assist with basic reporting and administrative tasks in tools like Microsoft 365, spreadsheets, and restoration/job management software (training provided).
Driving & Field Support
- Safely drive the founder to job sites, customer meetings, vendor locations, and other business-related destinations using a company vehicle or approved vehicle, so the founder can be productive in the car.
- Maintain a high standard of professionalism and discretion when present at job sites, customer homes, and business meetings.
- Support occasional on-site tasks such as taking photos, collecting paperwork, or coordinating access, as requested (no heavy field labor expected).
Personal Assistant Responsibilities
- Coordinate personal appointments (doctor, dentist, personal services, etc.) and manage related reminders and follow-ups.
- Assist with personal errands such as picking up packages, groceries, and supplies.
- Help care for the founder’s dog as needed (e.g., occasional walks, vet appointments, or drop-off/pick-up from daycare/boarding).
- Support personal travel logistics, reservations, and other life admin tasks to keep the founder’s personal life organized and running smoothly.
Operations & Process Support
- Work closely with the founder to refine systems, workflows, and routines that improve efficiency in both business and personal domains.
- Anticipate needs and proactively identify ways to save time, simplify processes, and reduce friction in the founder’s day.
- Maintain confidentiality and protect sensitive information related to business operations, finances, and personal matters.
Qualifications
- High school diploma or equivalent required; some college or relevant certifications a plus.
- 2+ years of experience in a professional assistant, executive assistant, office manager, personal assistant, or similar role.
- Strong organizational skills with the ability to manage multiple tasks, priorities, and changing schedules without dropping details.
- Excellent communication skills (phone, email, text) and a professional, friendly demeanor with customers, vendors, and partners.
- High level of discretion, integrity, and trustworthiness with access to sensitive information and personal matters.
- Clean driving record and valid driver’s license; comfortable driving regularly in the Chicagoland area and surrounding suburbs.
- Confident with technology and software tools such as Microsoft 365, email/calendar systems, and basic spreadsheets; willingness to learn new platforms (HubSpot/CRM, job management tools, etc.).
- Comfortable working in a fast-moving, entrepreneurial environment where priorities can shift rapidly.
- Ability to work independently, solve problems, and “figure things out” with limited oversight. …
