Job Description

Our confidential client is entering a significant growth phase focused on expanding its platform, scaling institutional processes, and continuing to grow its bespoke debt and flagship closed‑end fund strategies. As the organization evolves, the Executive Assistant to the CEO will serve as a critical partner—optimizing the CEO’s effectiveness, managing priorities across the platform, and anticipating needs before they arise. This role will play a central part in ensuring alignment and supporting day-to-day operations at the highest level.

THE ROLE:

Our client is seeking an Executive Assistant with a minimum of five years of experience supporting a CEO or senior executive in a fast-paced environment. This position is a unique opportunity for an individual who thinks proactively, exercises strong judgment, and views the role as an extension of the executive rather than a task-based administrator.  The ideal candidate will be detail-oriented, self-motivated, technologically fluent, and demonstrate an ability to independently solve problems, prioritize competing demands, and anticipate needs with minimal direction. As the primary point of contact for Our client, this position is expected to represent the company with dependable professionalism and sophistication in interactions with all business partners.

KEY RESPONSIBILITIES:

  • Design, manage, and continuously optimize the CEO’s calendar, serving as gatekeeper for the CEO and management team by decisively prioritizing the most important matters
  • Coordinate appointments, meetings, speaking engagements and interviews, ensuring the CEO is fully prepared with relevant context, materials, and clear objectives in advance
  • Manage travel and travel related activities, including arranging flights, hotels, local transportation, and meal coordination (including domestic and occasional international travel)
  • Track executive commitments, action items, and follow‑ups to ensure consistent execution and reduce the need for CEO intervention
  • Maintain professionalism and strict confidentiality, exercise impeccable discretion
  • Play a key role in supporting company participation in several conferences each year, including preparation of marketing materials and coordination of delivery to the offsite location
  • Oversee the company calendar of corporate and social events, assisting with planning from conception through completion
  • Assist in all aspects of the company’s office services, including vendor management and selection and replenishment of office supplies
  • Assist with managing a CRM database
  • Opportunities for involvement with assisting with marketing materials, identifying and coordinating social outreach, or assisting the HR function
  • Provide personal scheduling and coordination support as needed to ensure executive efficiency

DESIRED QUALIFICATIONS:

  • Minimum five years of experience in an administrative role reporting directly to executive management
  • Bachelor’s degree or other relevant education preferred
  • Personable, courteous, and confident in personal interactions
  • Excellent verbal and written communication skills
  • Ability to work independently and with a team
  • Self-management and problem-solving skills
  • Strong time management skills and the ability to remain organized while balancing multiple tasks
  • Strong computer skills and overall technological fluency including Microsoft Office Suite
  • CRM software management experience preferred
  • Experience in corporate and/or social event planning is a plus

COMPENSATION AND BENEFITS:

  • Competitive salary, commensurate with experience
  • Comprehensive medical, dental, and vision benefits
  • 401(k) with automatic 3% company contribution
  • Group Life Insurance
  • AD&D Insurance
  • Short- and long-term Disability Insurance
