The role offers significant exposure across the organization, interaction with senior stakeholders, and the opportunity to take on increasingly strategic responsibilities over time, including project coordination, operational initiatives, and special projects. The ideal candidate is proactive, highly organized, and thrives in a fast-paced, high-performance environment where attention to detail and strong judgment are valued.
Responsibilities
- Manage complex and ever-changing calendars, balancing competing priorities and ensuring executives are focused on high-impact activities.
- Coordinate meetings across multiple time zones and prepare materials, agendas, and follow-up action items.
- Serve as a trusted point of contact between senior leadership and internal and external stakeholders.
- Arrange detailed domestic and international travel, including flights, accommodations, transportation, itineraries, and related logistics.
- Track key deadlines, priorities, and deliverables, ensuring follow-through on critical initiatives.
- Support client meetings, executive visits, and special events throughout the year.
- Assist with expense reporting, administrative operations, and special projects.
- Partner closely with leadership and the broader administrative team to drive efficiency and seamless execution.
Qualifications
- Bachelor’s degree required.
- 3+ years of Executive Assistant experience supporting senior executives or leadership teams.
- Proven track record of taking ownership, building long-term partnerships, and following through on key initiatives and responsibilities over time.
- Demonstrates flexibility and sound judgment, responding to shifting priorities with professionalism, warmth, and a service-oriented mindset.
- Genuine interest in growing with an organization and building a long-term partnership with executive leadership.
- Resourceful, proactive, and highly knowledgeable about New York City, with the ability to provide thoughtful recommendations, coordinate client-facing experiences, and serve as a trusted local resource.
Required Skills
- Strong calendar management and prioritization skills.
- Exceptional organizational abilities with a proven capacity to manage multiple priorities simultaneously.
- Excellent written and verbal communication skills.
- Ability to anticipate needs, think ahead, and solve problems proactively.
- High level of professionalism, discretion, and confidentiality.
- Strong attention to detail and commitment to delivering high-quality work.
- Comfort working in a fast-paced environment with changing priorities.
- Advanced proficiency with Microsoft Office and related business technologies.
Preferred Skills
- High visibility supporting senior leadership.
- Opportunity to become a strategic business partner, not just an administrative resource.
- Exposure to investment operations and business strategy.
- Collaborative, professional, and team-oriented culture.
- Clear potential for long-term growth and expanded responsibilities.
