Executive Assistant

Overview:

The Executive Assistant acts as the founder’s right hand, helping protect their time, organize priorities, and keep the business moving forward day-to-day. This scope encompasses: traditional admin, operator, integrator, and gatekeeper roles.

Frequency is a vertically-integrated medicinal mushroom brand based in Topanga, CA. Cultivating for mental health and higher consciousness, Frequency envisions a world where ancient wisdom meets modern science, and everyone is guaranteed safe access to the healing they deserve.

Key Responsibilities:
Inbox and Communications Management

• Manage and triage the founder’s email inbox
• Flag high-priority messages and time-sensitive requests
• Draft responses (especially for partnerships, intros, and follow-ups)
• Maintain a clean, organized inbox system
• Act as a first point of contact when appropriate
• Schedule calls, meetings, and manage follow-ups
• Organize all strategically

Partnerships and Relationships Support

• Track partnership conversations and warm leads
• Organize contacts (investors, advisors, healers, researchers, brands, operators)
• Help coordinate intro calls and relationship-building conversations
• Maintain a lightweight CRM or tracking system (Airtable, Notion, Sheets)

Operations & Business Flow Support

• Assist with basic operations and internal organization
• Help document workflows and systems as the company grows
• Support light project management (deadlines, reminders, coordination)
• Keep the founder focused on high-leverage work

Alignment with Psychedelics & the Medicine Space: be knowledgeable and genuinely interested in:

• Psychedelics, plant medicine, and consciousness work
• Current trends, language, and ethics in the medicine space
• The cultural sensitivity and responsibility of this work
