Job Description

Company Description Centerpoint Construction Services Inc. has been proudly serving communities since 1998, delivering reliable construction, restoration, maintenance, and janitorial services that keep communities looking their best. Built on integrity, craftsmanship, and customer care, we combine decades of experience with a hands-on approach to ensure every project — large or small — is completed with precision and pride. Our team specializes in serving Homeowners Associations (HOAs) throughout the San Diego area, and we are dedicated to providing quality workmanship, open communication, and dependable service that communities can trust.

Job Description Full-Time | Santee, CA

Centerpoint Construction Services is looking for a sharp, bilingual, and highly organized Executive Assistant / Project Manager to join our team. This role sits at the intersection of operations, executive support, and field coordination — making it ideal for someone who is detail-driven, people-savvy, and ready to grow. You will work directly alongside our CEO, gain hands-on exposure to every facet of the business, and follow a defined path toward a full Project Manager role.

Key Responsibilities

  • Scope of Work Entry: Serve as the bridge between our field technicians and our internal systems. Following the completion of work in the field, you will communicate directly with technicians to capture accurate scope details — including labor hours, tasks performed, and job-specific information — and enter that data into our operations platform. The integrity of our job records depends on this function; precision and accountability are essential.
  • Receipt Entry & Job Order Costing: Review and enter material receipts, cross-reference technician dispatch records, and ensure all costs are accurately allocated to the correct work orders. This role directly supports our financial reporting and project-level profitability tracking.
  • Phone & Customer Communications: Serve as a professional point of contact for incoming calls from homeowners, property managers, vendors, and prospective clients. This requires clear and courteous communication in both English and Spanish, as well as discretion when handling sensitive information related to transactions and service agreements.
  • Scheduling & Calendar Management: Manage the scheduling calendar for job walks, technician dispatches, and operational deadlines. Coordinate directly with residents and property managers to confirm visit times, accommodate rescheduling, and ensure all commitments are tracked and met.
  • Executive Email Management: Oversee the CEO’s inbox with a high level of professionalism and trust. Responsibilities include triaging and responding to correspondence from property managers, clients, vendors, and homeowners; logging work orders into our internal database; and ensuring invoices and receipts are properly filed and followed up on.
  • Reporting & Executive Support: Collaborate with the CEO to produce walk notes, estimates, proposals, and operational reports. Provide broad administrative support that allows leadership to remain focused on high-level priorities while you manage the details with accuracy and reliability.
  • Property Walks & Field Training: Participate in on-site property inspections and job walks alongside the CEO, gaining direct exposure to construction and maintenance operations. This hands-on experience serves as the foundation for advancement into a full Project Manager role.

Minimum Requirements

  • Bachelor’s degree from an accredited 4-year university OR 3+ years of experience in construction management, business administration, or a related field
  • Bilingual in English and Spanish — required, no exceptions
  • Strong organizational skills with exceptional attention to detail
  • Proficiency in Microsoft Office Suite and/or Google Workspace
  • Ability to manage multiple priorities and competing deadlines simultaneously
  • Professional written and verbal communication skills in both English and Spanish
  • Demonstrated ability to handle confidential information with discretion and integrity

Preferred Qualifications
