Job Description
About the role
We are looking for a proactive, highly organised, and resourceful Personal Assistant to the Founder to become a trusted partner in keeping priorities moving, decisions supported, and day-to-day operations running smoothly. This is an opportunity to work closely with the Founder and play an important role in the success of the business. You will have visibility across a wide range of priorities, contribute to meaningful projects, and help create the structure and momentum needed for the Founder to focus on high-value work. You will not simply receive a list of tasks. You will be trusted to understand priorities, anticipate what needs attention, follow up on important matters, and take ownership from start to finish.
Key responsibilities
- Be a proactive partner: Understand the Founder’s priorities, anticipate upcoming needs, and identify matters requiring attention before being asked.
- Keep priorities moving: Monitor tasks, deadlines, commitments, communications, and outstanding matters, ensuring timely follow-ups and clear updates.
- Create organisation and clarity: Manage schedules, appointments, reminders, documentation, and day-to-day arrangements.
- Support business priorities: Assist with research, information gathering, reports, project coordination, and administrative matters.
- Help manage communications: Organise information, flag important messages, and ensure urgent or time-sensitive matters receive appropriate attention.
- Solve problems thoughtfully: Identify issues, assess priorities, recommend practical solutions, and escalate matters when necessary.
- Provide trusted assistance: Support both business-related and other reasonable matters entrusted by the Founder.
- Strengthen operations: Maintain effective tracking systems, anticipate bottlenecks, and ensure commitments and deliverables are completed.
- Work with flexibility: Coordinate with the Founder across Australian business hours and provide occasional support outside standard hours when priorities require it, subject to agreed working arrangements.
About you
- A strong ownership mindset and a genuine commitment to achieving outcomes.
- The initiative to anticipate needs and act without waiting for detailed instructions.
- Excellent organisational skills and the ability to manage multiple priorities effectively.
- Reliability, attention to detail, and a consistent habit of following through.
- Confidence working independently, making sensible decisions, and asking thoughtful questions when needed.
- Strong written and verbal English communication skills.
- Resourcefulness and adaptability in a fast-moving environment.
- Sound judgement and discretion when handling confidential business and personal information.
- Confidence using email, calendars, spreadsheets, task-management tools, and other digital platforms.
- Willingness to coordinate across time zones and accommodate reasonable flexibility outside standard Australian business hours when required.
