Financial Planning Assistant – Xplan | Australian Financial Planning

About the Role

We are looking for an experienced Financial Planning Assistant to support Australian financial advisers with client administration, onboarding, reviews, insurance applications, and implementation of financial advice.

The ideal candidate has Australian financial planning experience, hands-on knowledge of Xplan, and the ability to manage client records and administrative processes accurately and independently.

Key Responsibilities

• Coordinate client onboarding and maintain accurate client records.
• Prepare client files, documents, and information for adviser reviews.
• Manage client review preparation and follow-up activities.
• Maintain and update client information using Xplan.
• Process and coordinate insurance applications, including tracking requirements and application status.
• Liaise with insurers regarding outstanding documents, medical requirements, underwriting, and application progress.
• Assist with implementing financial advice recommendations following adviser meetings.
• Coordinate with financial advisers, clients, insurers, and product providers.
• Monitor multiple client files and ensure tasks are completed accurately and on time.

Qualifications and Requirements

• Minimum 3 years of experience in Australian financial planning administration, client services, or financial planning support.
• Hands-on experience using Xplan is essential.
• Experience supporting Australian financial advisers.
• Knowledge of client onboarding, reviews, and post-advice implementation.
• Experience processing insurance applications and coordinating with insurers.
• Strong understanding of Australian financial planning administration processes.
• Excellent attention to detail and organizational skills.
• Strong written and verbal English communication skills.
• Ability to manage multiple tasks and work independently.
