Job Description
Responsibilities:
- Travel. The largest part of the role. Build and manage international itineraries end-to-end — flights, hotels, drivers, restaurants, activities, and the travel calendar — for business trips, conferences, and family travel. Handle check-ins, changes, and the things that go wrong en route.
- Email and correspondence. Read and organize the executive’s inbox, highlight what needs attention, and ensure nothing is left pending. Draft replies and introductions in the executive’s voice, maintain contacts, and make sure delegated tasks are followed through.
- Liaison and follow-through. Serve as the main point of contact between the executive and the outsourced family office firm, accountants, lawyers, bankers, and business partners. Direct requests to the appropriate parties, track outstanding matters, and proactively follow up.
- Research. Research companies, people, products, places, and other topics as they arise, providing clear, concise findings and recommendations.
- Calendar and scheduling. Manage the executive’s calendar across multiple time zones, including meetings, calls, appointments, coaches and trainers, and family and school schedules.
- Household and property. Oversee the day-to-day operations of the executive’s residence in Portugal. Coordinate the caretaker, contractors, and tradespeople, track maintenance and renovation work through completion, and manage utilities, insurance, and home systems.
- Errands and sourcing. Research and purchase requested items, track orders, handle returns and exchanges, and coordinate gifts.
- Everyday technology. Assist the executive with phones, laptops, applications, logins, and smart-home systems.
Qualifications:
- A bachelor’s degree in any field
- Strong writing skills and the ability to draft correspondence on behalf of an executive. Portuguese language proficiency is a strong advantage, particularly when dealing with local vendors and household matters.
- At least 5 years of experience as an Executive Assistant (EA) or Personal Assistant (PA).
- Strong experience managing international travel arrangements.
- Comfortable handling last-minute changes, cancellations, and unexpected travel disruptions.
- Comfortable being the connective tissue between outside firms and advisers, and confident chasing professionals twice your seniority until something is done.
- Organized enough to hold fifty open threads and let none of them drop, and proactive enough to close them without being asked twice.
- Genuinely comfortable with technology, and able to explain it clearly to someone else.
- Comfortable handling sensitive financial, medical, business, and family information.
- Willing to adjust working hours when necessary to accommodate travel schedules and changing priorities.
Pay: Php28,000.00 - Php30,000.00 per month
