Job Description
I’m exclusively partnering with a highly regarded global financial services firm to find an experienced Executive Assistant to provide high-level, 1:1 support to the CEO.
This is a varied, hands-on role combining senior executive support, project coordination and business partnering. Working closely with the CEO in a collaborative environment, you’ll play a key role in managing competing priorities, anticipating needs and helping drive important business initiatives.
What you’ll be doing:
- Providing high-level, 1:1 support to the CEO, including complex diary and email management, prioritising competing demands and managing critical deadlines.
- Coordinating complex domestic and international travel across APAC and other global destinations, including detailed itineraries, accommodation, transfers and last-minute changes.
- Supporting key business projects by tracking timelines, coordinating deliverables and following up with stakeholders to keep priorities on track.
- Preparing board papers, reports, presentations and meeting materials, and coordinating actions and follow-ups where required.
- Building strong relationships with senior stakeholders across the business and coordinating arrangements for visiting executives.
- Providing additional support to other senior leaders as required.
What we’re looking for:
- An experienced, proactive and commercially minded Senior Executive Assistant with a strong track record supporting C-suite executives, ideally within investment banking, private capital, asset management or broader financial services.
- Excellent judgement, exceptional organisational skills and the ability to anticipate needs, manage competing priorities and operate as a trusted business partner.
- Experienced supporting senior executives across multiple time zones, with confidence coordinating complex international travel and handling highly confidential information.
- Someone who takes ownership, works autonomously and brings a solutions-focused approach in a fast-paced, global environment.
- Confidence using technology, digital tools and AI to streamline workflows, improve efficiency and work smarter, while maintaining accuracy, discretion and confidentiality.
The opportunity
This is a full-time, permanent role based in Sydney CBD, with five days in the office as the standard arrangement. There is some flexibility to work from home when the CEO is also working remotely and in-person support is not required.
This is an excellent opportunity to join an established global financial services business in a pivotal support role, with exposure to key business initiatives and the opportunity to operate as a true business partner to the CEO.
