We are seeking a a highly organized, detail-oriented, and proactive PROJECT ASSISTANT to support our project Management Department.

The Project Assistant is responsible for supporting the Project Management Department by ensuring all projects are properly set up, purchase orders are confirmed, project information is accurate, and deadlines are monitored. This position requires strong organizational skills, attention to detail, and proactive follow-up to keep projects moving efficiently.

Key Responsibilities

1. Project Setup & Order Verification

• Create and set up new projects in Odoo.
• Verify customer information, project details, and delivery locations.
• Confirm approved quotes match customer purchase orders.
• Ensure measurements, patterns, quantities, and specifications are complete.
• Verify all required documentation is attached to the project.
• Assign tasks and establish project deadlines.

 

1. Purchase Order Confirmation

• Review and confirm all incoming customer purchase orders.
• Verify pricing, quantities, products, and delivery requirements.
• Identify discrepancies between quotes and purchase orders.
• Follow up on missing or incorrect purchase orders.
• Coordinate with Purchasing to confirm materials are ordered on time.
• Ensure purchase orders are properly documented in Odoo.

Qualifications:

• Strong organizational and time-management skills
• Excellent attention to detail and accuracy
• Good written and verbal communication skills.
• Ability to review documents and identify discrepancies
• Strong follow-up skills and a proactive approach to problem-solving
• Ability to manage multiple projects and deadlines simultaneously
• Experience with ODOO or other ERP/project management systems is an advantage.
• Previous experience in project administration, order processing and purchasing coordination, or a similar role is preferred.

• Computer Processor: Minimum 5th generation Intel i5 processor or equivalent
• Computer Memory/RAM: Minimum 4.00 GB
• Computer Operating System: Windows 10 or Mac OSX - No Linux, Unix, or any operating system other than what is required.
• Internet Speed: Running on a 5.0 MBPS plan or higher (Both primary and backup) - If your backup connection cannot serve as your primary connection, that does not qualify as a backup connection
• REQUIRED Headset: Noise-cancelling headset connected via USB port
• REQUIRED WebCam: At least 3 megapixels capable of 720p recording
