About the Company
Our client is a London-based accountancy practice providing professional accounting and business services. The firm operates using written procedures and structured daily handovers to keep operations organised and efficient.
About the Role
We’re looking for a reliable, proactive, and highly organised Executive Assistant based in the Philippines to support the Founder with day-to-day operations.
The goal is to free up one to two hours of the Founder’s day by taking ownership of inbox management, follow-ups, coordination, and administrative tasks. This is a long-term opportunity for someone who enjoys staying organised, working independently, and being a dependable part of the business.
You’ll follow established procedures, manage routine tasks independently, flag exceptions when needed, and suggest improvements to existing processes.
Working Arrangement
- Fully remote, based in the Philippines
- Full-time, 40 hours per week, Monday to Friday
- Working hours: 7:00 AM–4:00 PM UK time, with a one-hour break
- From late October, working hours will be 3:00 PM–12:00 AM Philippine time, shifting to 2:00 PM–11:00 PM during UK summer time. Candidates must be comfortable with these hours.
- Monthly pay of £600–£700, depending on experience
- Contracted and paid directly by the client
- Sole contract preferred; candidates should disclose any other work commitments
- Eight-week probation period, following a short paid test task
What You’ll Be Doing
- Inbox and diary management: Triage the Founder’s inbox, prepare draft replies for approval, manage the calendar, and book meetings across UK, US, and Asian time zones.
- Email management: Send emails once approved by the Founder.
- Client follow-ups: Chase clients for missing documents and unanswered requests, maintaining a simple tracker.
- Decision tracking: Maintain a log of decisions awaiting the Founder’s input and send reminders ahead of deadlines.
- Meeting follow-ups: Turn meeting notes into action lists and draft follow-up messages for approval.
- Document management: Save and file documents in the correct client folders, following written procedures.
- Client onboarding: Set up new client records and send standard paperwork once a client has accepted.
- Recruitment administration: Schedule interviews, log candidates, and send standard candidate emails.
- Research and ad hoc tasks: Carry out basic research, complete forms, and prepare comparisons as needed.
What We’re Looking For
- Excellent written English, with clear, professional communication and a British business tone
- Proven experience as an Executive Assistant or Virtual Assistant, ideally with at least two years of experience
- Highly organised, with the ability to follow written procedures and use sound judgement when handling exceptions
- Comfortable using Microsoft Outlook, Microsoft 365, Zoom, Discord, and WhatsApp
- Discreet and trustworthy when handling confidential financial and personal information
- Reliable internet connection, a quiet workspace, and a backup internet connection
The following would be an advantage:
- Experience in accounting, bookkeeping, or professional services administration
- Experience supporting a UK-based or international Founder
- Currently studying accountancy qualifications, such as ACCA
- Familiarity with document management or practice management software (training will be provided)
How the Role Works
The firm operates using written playbooks and a short daily handover at the start of each shift, so you won’t need to rely on constant, one-off instructions.
You’ll be expected to follow established procedures, flag exceptions, and suggest improvements where appropriate. Standing rules cover routine matters, allowing you to handle day-to-day tasks independently without needing to ask for approval each time.
