HVAC Virtual Assistant – Housecall Pro Dispatch & Customer Service

About the role

Talentige is hiring a Virtual Assistant with solid Housecall Pro experience to run customer service and dispatching for a growing US-based HVAC company. You’ll be the first person customers talk to, you’ll keep the schedule booked, and you’ll make sure technicians always know where they’re headed next. This is a fully remote, full-time, long-term position.

Your day-to-day

• Answer inbound calls, texts, and web leads, and schedule service appointments
• Set up and manage customers, jobs, and schedules in Housecall Pro
• Dispatch technicians and keep customers updated on arrival windows
• Escalate urgent and emergency AC calls to the on-call technician
• Follow up on open estimates and unpaid invoices
• Schedule maintenance tune-ups and take care of recurring maintenance customers
• Request reviews from satisfied customers
• Keep CRM records, notes, and job statuses accurate and up to date

What we’re looking for

• Proven hands-on Housecall Pro experience (required), including booking, dispatching, estimates, and invoicing
• Fluent, clear English and confidence speaking with US homeowners over the phone
• Availability during US Eastern Time business hours
• Reliable high-speed internet with a backup connection, a quiet workspace, and a quality headset
• Strong organization skills and a calm, professional attitude during busy periods

Nice to have

• Experience in HVAC or another home-services business
• Familiarity with ServiceTitan or Jobber
• Sales or booking experience, especially converting calls into booked jobs
• Experience supporting US customers in a call center or BPO

Compensation: 1,300 USD per month, full-time
