Job Description
Events Manager
£40K DOE
London - Hybrid (3 days in the office)
Ark is partnering with an established and growing business within the B2B events and business intelligence space to recruit an organised, commercially minded Events Manager.
This is an exciting opportunity for someone with experience managing B2B events who enjoys taking ownership, working with a variety of stakeholders and ensuring every detail is right. You’ll be responsible for delivering your own events from initial venue and supplier negotiations through to on-site delivery and post-event evaluation, working across a varied portfolio of think tanks, roundtables, luncheons, forums and larger events.
The role:
As Events Manager, you’ll take ownership of the full event lifecycle, ensuring each event is delivered professionally, on budget and to a high standard. You’ll manage venue and supplier relationships, oversee budgets, coordinate logistics and work closely with producers, marketing colleagues and the wider events team to bring each event together. The portfolio ranges from smaller, intimate events for around 20 guests to larger events with audiences of up to 200, so you’ll need to be confident managing multiple projects at once, staying on top of deadlines and spotting potential issues before they become problems. Alongside the live events programme, you’ll also manage a series of virtual briefings and webinars, coordinating speakers, sponsors and moderators while overseeing technical delivery and post-event reporting.
This is a hands-on role with plenty of scope to develop. You’ll initially focus on managing your own events, with opportunities to progress into more complex international events, support awards ceremonies and take on greater responsibility across the wider events programme. The business is also keen to embrace AI, automation and smarter ways of working, so this would suit someone who enjoys using technology to improve processes, reduce manual administration and make event delivery more efficient.
Key Responsibilities:
- Manage B2B events from initial planning and supplier negotiations through to onsite delivery and post-event evaluation.
- Source and negotiate with venues and suppliers, managing contracts, costs and event requirements.
- Manage event budgets, monitor spending and ensure events stay on track financially.
- Coordinate event logistics, documentation, running orders, staff briefings and pre-event checks.
- Work with producers and marketing teams on speakers, agendas, AV, promotion and event materials.
- Monitor delegate bookings and ensure sponsor commitments are delivered to a high standard.
- Lead onsite operations, resolve issues and ensure a smooth experience for attendees.
- Manage event stock, lead post-event reviews and identify improvements for future events.
- Coordinate virtual briefings and webinars, including speaker preparation, live delivery and post-event reporting.
- Use CRM systems, AI and automation to improve processes, reporting and event efficiency.
- Develop towards managing more complex international events, awards programmes and the wider webinar schedule.
- Travel internationally when required and work flexibly around event dates.
What we’re looking for:
- 2-3 years’ experience managing B2B events, ideally from a think tank, forum or smaller scale summit background.
- End-to-end event organisation, including venue sourcing, supplier negotiations and on-site delivery
- Strong organisational and project management skills, with the ability to manage multiple events and deadlines.
- Excellent attention to detail, particularly when reviewing contracts, budgets and event arrangements.
- A proactive approach, with the confidence to take ownership, make decisions and solve problems under pressure.
- Strong communication and relationship-building skills when working with suppliers, sponsors, speakers and internal teams.
- Commercial awareness and experience managing event budgets.
- Confidence using technology, including CRM systems, registration tools and webinar platforms. HubSpot experience would be advantageous.
- An interest in AI and automation, with a willingness to improve existing processes.
- A flexible, adaptable approach and a willingness to support the wider team.
- Eligibility to work in the UK and a valid passport, with the ability to travel internationally.
- Flexibility to work occasional varied hours around event dates.
