About the Role
The organization is seeking a highly organized, proactive Executive Assistant to support senior leadership, including the CEO and Chief Communications Officer, while working closely with the Director of Operations.
This full-time position is primarily remote, with candidates based in South Florida preferred due to occasional in-person responsibilities. The successful candidate will be comfortable managing complex schedules, coordinating domestic and international travel, and responding to changing priorities. Strong judgment, discretion, attention to detail, and the ability to work independently are essential in this fast-paced international media environment.
Key Responsibilities
- Provide executive and administrative support to senior leadership.
- Manage complex calendars, meetings, and scheduling requirements.
- Coordinate domestic and international travel, including last-minute itinerary changes.
- Prepare correspondence, meeting materials, travel itineraries, and follow-up items.
- Track expenses, action items, and deadlines to help ensure timely completion.
- Coordinate logistics for Board activities, donors, and other key stakeholders.
- Assist with daily operational needs and special projects.
- Handle sensitive executive and organizational information with discretion and confidentiality.
- Communicate professionally with internal teams and external stakeholders.
- Work closely with the Director of Operations and maintain regular communication with senior leadership.
- Provide occasional in-person support in South Florida as needed.
Required Qualifications
- Professional fluency in both Spanish and English.
- Ability to read and write professionally in Spanish.
- Previous experience supporting senior executives.
- Strong organizational skills and exceptional attention to detail.
- Sound judgment and the ability to make decisions independently.
- A proactive approach to anticipating needs and solving problems.
- Experience coordinating complex executive travel.
- Ability to manage multiple priorities in a fast-moving environment.
- Excellent verbal and written communication skills.
- A high level of discretion and professionalism.
- Ability to work independently in a primarily remote setting.
Preferred Qualifications
- Experience supporting a CEO, founder, president, or other C-suite executive.
- Residence in South Florida, particularly Miami, Hollywood, Fort Lauderdale, or surrounding areas.
- Previous experience in a nonprofit or mission-driven organization.
- Background in media, communications, public relations, philanthropy, or a related field.
- Experience working with distributed or international teams.
- A consistent employment history demonstrating stability in previous roles.
- Experience supporting Board members, donors, or external stakeholders.
Work Environment and Location
- Full-time, primarily remote position.
- South Florida candidates are strongly preferred because occasional in-person responsibilities may arise.
- The organization encourages reasonable working boundaries; however, its connection to the 24/7 news cycle means that priorities may occasionally require flexibility outside traditional business hours.
- Candidates should be comfortable adapting to changing plans and responding to urgent needs when they arise.
Compensation and Benefits
- Base salary: $55,000–$60,000.
- Health and medical benefits.
- Paid vacation.
- Additional standard full-time employee benefits.
