Job Description

Job title: Office Administrator – Customer Service & Business Operations

Help us build the next stage of Apex Lawns

Apex Lawns is a growing lawn-treatment company serving South Manchester and Cheshire. We’re looking for a proactive, technically confident and highly organised administrator to take ownership of our day-to-day office administration and help us improve how the business runs.

You’ll work directly with the owners, support our greenkeepers and keep our customers informed. As you learn the business, we want you to spot problems, suggest improvements and put better ways of working into practice.

The opportunity

We’re building a business with ambition, and we want someone who is excited about being part of that journey.

You’ll have the opportunity to make a visible difference: organising a busy treatment schedule, improving customer communication and helping create systems that allow us to grow.

For the right person, there is potential to progress into a Head of Administration role as the business expands, potentially within the next 12 months. That could include helping recruit, train and manage an admin team around you. Progression will depend on your performance and the growth of the business.

We’re looking for someone who wants to invest their skills and ideas in a company where their contribution is recognised, with responsibility and opportunities that grow alongside the business.

What you’ll take ownership of

  • Customer communication: Answer calls confidently, respond to emails and messages, explain our services clearly and keep customers updated.
  • Bookings and scheduling: Arrange treatments, consultations and follow-up visits, keeping schedules organised and communicating changes promptly.
  • Customer records: Maintain accurate details, treatment histories, payment information and clear notes so the office and greenkeepers have the information they need.
  • Daily job administration: Review completed work, record missed treatments and their reasons, and make sure outstanding actions are followed through.
  • Payment follow-ups: Send reminders, follow up outstanding balances professionally and keep payment records accurate.
  • Enquiries and follow-ups: Help turn enquiries into bookings and make sure customers waiting for quotes, answers or return visits are not forgotten.
  • Systems and processes: Learn our customer management system, identify repetitive tasks and help introduce useful templates, automations and improvements.
  • Office organisation: Manage competing priorities, maintain clear task lists and keep the owners informed of issues that need their attention.

Who we’re looking for

You’ll suit this role if you are:

  • Confident with technology. You use computers and smartphones efficiently, pick up unfamiliar software quickly and enjoy finding better ways to work.
  • Excellent on the phone. You are friendly, articulate and professional, with the confidence to handle enquiries, booking changes, payment conversations and customer concerns.
  • Proactive. You notice what needs doing, take sensible action and follow tasks through without needing repeated reminders.
  • Exceptionally accurate. You check names, dates, addresses, prices and notes carefully, understanding how small mistakes can affect the rest of the team.
  • Clear and concise. Your messages are easy to understand, and your records contain the detail someone else needs to take the next step.
  • Organised and dependable. You arrive on time, manage a busy workload and keep track of commitments.
  • Comfortable with change. You understand that a growing business needs people who can adapt, ask thoughtful questions and help develop processes.
  • Ready for responsibility. You want to understand the business and become someone the team can rely on to manage its administration.

Experience

Previous experience in administration, customer service, office coordination or business operations would be valuable. Experience using CRM systems, scheduling software, spreadsheets or business messaging tools would also be useful.

You do not need lawn-care experience—we can teach you our services. You do need strong everyday technical skills, excellent communication and the ability to learn and work accurately.

Why join Apex Lawns?

  • Work directly with the owners and have your ideas heard.
  • See the impact of your work on customers and the wider team.
