About Us

Dizney Behavioral Health is a small, independently owned outpatient mental health practice specializing in psychiatric medication management and addiction medicine.

We are seeking a dependable, compassionate, and organized Administrative Assistant to join our growing team. The ideal candidate is someone who understands the importance of patience, professionalism, and thoughtful communication when working with individuals receiving mental health care.

This position reports directly to our Office Manager, who will provide guidance, oversight, and assistance with administrative responsibilities.

Key Responsibilities

  • Monitor and respond to client emails, phone calls, and voicemail messages in a timely and professional manner.
  • Return client phone calls and emails and ensure appropriate follow-up.
  • Assist clients with scheduling, rescheduling, and appointment-related questions.
  • Receive and coordinate medication refill requests, forwarding them to the provider for clinical review.
  • Maintain accurate documentation of client communications, pending requests, and completed tasks.
  • Communicate regularly with the Office Manager regarding client concerns, outstanding tasks, and administrative needs.
  • Recognize when client concerns require escalation to the Office Manager or provider.
  • Assist with additional administrative duties as needed.

Schedule and Availability

  • Monday through Friday availability is preferred, although alternative scheduling arrangements may be considered.
  • Approximately 10 hours per week initially, with the possibility of increasing hours based on the needs and growth of the practice.
  • Responsibilities include checking and responding to client communications consistently throughout agreed-upon working hours.
  • Hours may be distributed across the workweek based on practice needs and mutual agreement.
  • Reliability, consistency, and timely communication are essential.
  • This position is 100% remote.

Qualifications

  • Previous experience in customer service, medical administration, behavioral health, or client-facing roles preferred but not required.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to work independently while maintaining consistent communication with the Office Manager.
  • Comfortable using email, phone systems, electronic scheduling, and other practice-related software.
  • Ability to maintain confidentiality and comply with HIPAA requirements.
  • Willingness to learn, receive constructive feedback, and adapt to the needs of a growing practice.

What We’re Looking For

At Dizney Behavioral Health, we believe that the way we communicate with clients is just as important as the information we provide.

Our clients may be navigating depression, anxiety, trauma, addiction, or other mental health challenges. Occasionally, individuals may express frustration, anxiety, or distress when reaching out for assistance.

We are looking for someone who:

  • Approaches clients with patience, kindness, and empathy, even during challenging interactions.
  • Understands the importance of tone in written communication and can convey warmth and professionalism through email.
  • Recognizes that client frustration is not necessarily personal.
  • Can maintain professional boundaries while remaining compassionate.
  • Understands when to involve the Office Manager or provider rather than attempting to resolve difficult situations independently.
  • Takes initiative, follows through on assigned responsibilities, and communicates proactively.
  • Is dependable, receptive to feedback, and comfortable working as part of a small, collaborative team.

You will not be expected to independently manage difficult clinical situations or resolve every client concern. Our Office Manager and provider are available to assist with situations requiring additional support.

Why Join Our Team?
