Job Description
Creative Operations Assistant
*Wicked Smaht Wellness Mindfully Chaotic Talkshow*Pay: $20 per hour
Hours: Approximately 5–8 hours per week
Location: Remote — open to applicants throughout the United States (option to pick up occasional in-person hours for events, not mandatory)
About the Role:
Wicked Smaht Wellness and Mindfully Chaotic are two connected brands built around wellness, creativity, and community. I’m looking for a reliable, organized, and resourceful Creative Operations Assistant to help keep the behind-the-scenes work moving so there’s more time and energy to focus on creating, connecting, and growing.
This is a flexible, part-time role that blends administrative support, talkshow coordination, content organization, social media assistance, and occasional event planning support.
You do not need to be an expert in every area. I’m happy to train the right person! The ideal candidate is a good communicator who enjoys keeping things organized, following through on tasks, learning new tools, and helping creative projects come together.
What You’ll Help With:
Administrative & Business Support…
* Help organize digital files, documents, spreadsheets, and project information.
* Assist with email inbox organization, scheduling, and routine follow-ups.
* Help keep task lists, deadlines, and project details organized.
* Assist with basic website updates and other behind-the-scenes business tasks.
Talkshow & Creative Support…
* Help coordinate guest outreach, communication, and scheduling for the Mindfully Chaotic.
* Keep track of guests, recordings, and upcoming production tasks.
* Help review existing recordings and identify potential short-form video clips.
* Assist with basic video trimming, captions, and clip preparation as skills and time allow.
Content & Social Media Support…
* Organize existing photos, videos, and other content.
* Help schedule approved social media posts and maintain a simple content calendar.
* Repurpose existing content into short clips or posts.
* Help create a more consistent posting workflow without needing to generate all-new content from scratch.
Events, Projects & Collaborations…
* Assist with communication and follow-ups involving venues, artists, guests, and collaborators.
* Help track event details, timelines, checklists, and outstanding tasks.
* Provide organizational support for special projects, partnerships, and upcoming events.
What We’re Looking For:
* Someone dependable, organized, and comfortable managing a small list of priorities.
* Clear, professional written communication and attention to detail.
* Someone who takes initiative, asks questions when needed, and follows tasks through to completion.
* Comfort using email, online documents, spreadsheets, and everyday digital tools.
* An interest in creative projects, wellness, general media, social media, or event coordination.
* A willingness to learn and adapt as projects and priorities change.
* The ability to handle confidential information with discretion.
Previous administrative, social media, podcast, video editing, or event experience is helpful but not required. Entry-level applicants are welcome. A positive attitude, reliability, and willingness to learn matter more than having every skill on day one.
Schedule & Work Style:
This is a remote-first position with a highly flexible schedule, typically averaging around 5–8 hours per week. Hours may vary depending on current projects, priorities, and your availability, and some weeks may require less time. The goal is to create a sustainable working arrangement that works well for both of us, rather than requiring the same number of hours every week.
We’ll communicate regularly to establish priorities, agree on deadlines, and keep projects moving forward using a simple shared task list or project tracker. You’ll have the freedom to manage your time and work independently, with training, guidance, and support available when needed.
This role is designed to fit alongside other work, school, family responsibilities, or personal commitments. You won’t be expected to be constantly available or respond immediately outside agreed working times. Clear communication, reliability, and following through on agreed-upon tasks are more important than working a rigid schedule.
Occasional in-person opportunities may be available for candidates in the lo…
