WFH Medical Scribe and Administrative Assistant (ModMed EMA)

Job Overview:

Our client is looking for a detail-oriented Medical Scribe and Administrative Assistant to support their physicians in two ways. On clinic days, you will take visit notes generated by an AI scribe application and transfer them into the electronic health record system, Modernizing Medicine (ModMed EMA), so every note is complete and ready for physician sign-off the same day. On non-clinic days, you will complete patient disability forms and related paperwork accurately and on time.

Schedule:

Monday - Friday, EST business hours (40 hrs per week)

Responsibilities

• Scribe & EHR Management: Transfer AI-generated visit notes into ModMed EMA charts, organizing details (history, exam, plan) accurately and completing all patient encounter notes by the end of each clinic day for physician sign-off.

• Disability & Paperwork Processing: Complete disability and FMLA forms using chart records, route them for physician signatures, send completed forms to relevant parties, and maintain a log to track deadlines.

• Quality & Communication: Flag missing or unclear clinical information to physicians for clarification, update daily progress logs, and coordinate with practice staff via messaging tools.

• Compliance & Administrative Support: Adhere strictly to HIPAA guidelines to protect patient privacy and assist with general administrative tasks as assigned.

Requirements

• Private, quiet workspace where patient information cannot be seen or overheard.

• Reliable high-speed internet (wired connection preferred).

• Computer that meets security requirements, with a second monitor recommended.

• Availability during clinic hours on scribe days to reach physicians with questions.

• Willingness to sign a HIPAA confidentiality agreement and follow security policies.

Training and Expectations

• The practice provides full training on the AI scribe application, ModMed EMA, note templates, and the disability forms process.

• Success in this role means:

• All scribe-day notes transferred and ready for signature by end of the same day.

• Notes accurate to the AI transcript and the physician’s documentation.

• Disability forms completed within the practice’s turnaround time.

• Questions raised quickly rather than left open.
