Job Overview

Our client is seeking a detail-oriented Clinical Trial Finance & Coordination Assistant to support the financial administration, study coordination, and regulatory documentation of clinical research studies.

This role combines clinical trial site finance with day-to-day research coordination. You will maintain study financial trackers, reconcile sponsor and Contract Research Organization (CRO) payments, prepare invoices, coordinate participant visits, and keep clinical trial records accurate and audit-ready.

Important: Previous hands-on experience working at a clinical trial research site is essential. General administrative or finance experience without clinical trial site experience will not meet the requirements.

Schedule

  • Monday–Wednesday, 9:00 AM–5:00 PM Australian time

Key Responsibilities

Clinical Trial Finance

  • Maintain study budgets and financial trackers covering participant visits, procedures, invoiceable activities, and additional costs.
  • Reconcile sponsor and CRO payments, identify discrepancies, and follow up on outstanding invoices and missed payments.
  • Prepare invoices for additional visits, screen failures, protocol amendments, storage, archiving, and other billable activities.
  • Track study start-up fees, ethics and governance fees, equipment, courier costs, and participant reimbursements.
  • Assist with reviewing study budgets, preparing monthly income summaries, and maintaining aged receivables reports.
  • Organize financial records and supporting documents for audits and monitoring visits.

Clinical Trial Coordination

  • Assist with participant scheduling, visit preparation, and study-related logistics.
  • Prepare source documentation, enter data into Electronic Data Capture (EDC) systems, and help resolve data queries within required timelines.
  • Maintain Investigator Site Files (ISFs), training records, delegation logs, and other essential study documentation.
  • Track investigational product accountability, temperature logs, laboratory supplies, and sample processing and dispatch, as applicable.
  • Support the research team in meeting study timelines and following established protocols.

Regulatory & Administrative Support

  • Assist with ethics and governance submissions, protocol amendments, safety reports, and annual reports.
  • Maintain investigator CVs, site credentials, and regulatory documentation.
  • Communicate professionally with sponsors, CROs, and clinical trial monitors.
  • Support feasibility questionnaires, site selection documents, and general administration across multiple active studies.

Essential Requirements

  • Previous experience in a clinical trial research site as a Clinical Trial Assistant, Study Coordinator, Research Administrator, or in a similar role.
  • Experience with clinical trial site finances, including invoicing, payment reconciliation, study budgets, or receivables tracking.
  • Working knowledge of ICH-GCP guidelines and the NHMRC National Statement on Ethical Conduct in Human Research.
  • Strong Microsoft Excel skills and the ability to maintain accurate financial trackers and reports.
  • Excellent attention to detail, organization, and time management across multiple studies and deadlines.
  • Strong written and verbal communication skills for coordinating with sponsors, CROs, and monitors.
  • Ability to work independently, handle confidential research information appropriately, and follow clinical trial procedures.

Nice-to-Have Qualifications

  • Familiarity with the Medicines Australia standard Clinical Trial Research Agreement (CTRA) and study budget schedules.
  • Experience with Clinical Trial Management Systems (CTMS), EDC platforms, medical billing, or practice management software.
  • Educational background in health sciences, nursing, pharmacy, clinical research, or a related field.
  • Experience preparing cost analyses, tracking site payments, and reconciling sponsor invoices.

Why Join This Role?

  • Work remotely from the Philippines in a part-time clinical research support role.
  • Apply your clinical trial site experience across finance, coordination, and regulatory administration.
  • Contribute to accurate financial reporting, organized study records, and efficient trial operations.
  • Work with a research team supporting multiple active clinical studies.
