Job Description

Cleveland’s top real estate company is looking for an Executive Assistant to serve as the right-hand partner to some of our top-producing agents in the Greater Cleveland area.

This is not a sales position. Instead, you will be responsible for managing the administrative, operational, and client service functions that happen behind the scenes to help our agents operate at a high level and deliver an exceptional client experience.

The ideal candidate is highly organized, detail-oriented, proactive, and thrives in a fast-paced environment. You will play a critical role in helping agents stay focused on revenue-generating activities while you oversee the day-to-day details, systems, and follow-through that keep the business running smoothly.

This position requires someone who can anticipate needs, solve problems independently, communicate professionally, and take ownership of projects from start to finish. A strong ability to prioritize competing demands and meet deadlines will be essential to your success.

In addition to traditional administrative responsibilities, this role will leverage cutting-edge AI tools and technology platforms to increase efficiency, streamline workflows, assist with marketing initiatives, automate processes, and enhance the overall client experience. We are looking for someone who embraces innovation and is excited to learn and implement new technologies.

Administrative Support

  • Serve as the primary administrative support and right-hand partner to assigned agents
  • Manage calendars, appointments, and scheduling
  • Coordinate meetings, client appointments, inspections, and closings
  • Maintain organized digital files and transaction records
  • Prepare listing and buyer paperwork, contracts, and disclosures
  • Ensure all documents are complete and submitted on time
  • Anticipate agent needs and proactively solve problems before they arise

Transaction Coordination

  • Assist in managing transactions from contract to close
  • Communicate with clients, lenders, title companies, inspectors, and vendors
  • Track deadlines and ensure compliance throughout the transaction process
  • Provide exceptional customer service and consistent communication to clients
  • Maintain transaction checklists and ensure all parties stay on schedule

Marketing, Technology & AI Support

  • Coordinate listing launches including photography, signage, MLS input, and marketing materials
  • Assist with social media, email marketing campaigns, and database management
  • Utilize AI platforms and emerging technologies to create efficiencies, generate content, organize information, and improve workflows
  • Support agents in implementing technology solutions that enhance productivity and client experience
  • Order marketing materials and maintain listing inventory

Office & Team Operations

  • Support day-to-day operations and team organization
  • Help maintain systems, checklists, and standard operating procedures
  • Assist with client events, team meetings, and special projects
  • Handle miscellaneous tasks to support overall team productivity
  • Identify opportunities to improve processes and operational efficiency

Qualifications

  • Bachelor’s degree or equivalent professional experience
  • Strong interpersonal, customer service, and communication skills
  • Exceptional organizational and time-management abilities
  • Ability to multitask and prioritize in a fast-paced environment
  • High level of professionalism and attention to detail
  • Proficient in Microsoft Office Suite, Google Workspace, and cloud-based technology platforms
  • Comfortable learning and utilizing AI tools and automation platforms
  • Previous experience in real estate, executive assistance, transaction coordination, or project management is preferred
  • Self-starter with a positive attitude and strong problem-solving skills

Pay: $30,000.00 - $40,000.00 per year
