Job Description
About the Role
We’re looking for a Design Project Coordinator who loves great design, thrives in a fast-moving environment, and is the kind of person who naturally keeps things organized, moving, and on track.
Our team designs and stages short-term rentals across the country, and there are a lot of moving pieces behind every finished space. Designers, clients, construction teams, staging teams, vendors, timelines, deliveries, last-minute changes—you get the idea.
That’s where you come in.
You’ll work closely with our Director of Design, Design Project & Experience Lead, designers, and procurement team to help move projects from kickoff through final staging. You’ll help manage client communication, keep an eye on timelines, coordinate details across teams, and jump in to solve problems before they become bigger ones.
This is not a role where you wait for someone to hand you a checklist every morning. We’re looking for someone who notices what needs to happen next, asks great questions, follows through, and genuinely enjoys being part of a collaborative team.
You don’t need to be an interior designer, but you should love design and have a strong eye for what looks good. You should also be comfortable communicating with clients, making judgment calls, juggling multiple projects, and occasionally navigating a little organized chaos.
If you’re someone who loves a beautifully designed space and an organized Google Sheet, we should probably talk.
What You’ll Own
Client Experience & Communication
● Draft and respond to client emails in a friendly, polished, and confident way
● Answer project and design-related questions and help keep communication moving
● Take detailed notes during project kickoff calls and make sure important information gets back to the design team
● Serve as a point of contact for questions from clients and construction teams
● Help reinforce the value behind our designs and identify opportunities for additional services or design enhancements when they make sense
Project Coordination
● Monitor project timelines and help keep projects moving toward key milestones
● Coordinate staging details and follow up on outstanding needs
● Track post-staging and handyman items with staging teams and third-party vendors
● Anticipate upcoming needs, identify gaps, and proactively help resolve issues
● Follow up across teams to make sure decisions and action items actually get completed
● Help create a smooth handoff between design, procurement, staging, construction, and the client experience
Design Support
● Review design decks for quality, accuracy, completeness, and overall aesthetic alignment
● Approve minor design reselections that stay within the established design direction
● Support designers with project questions and coordination needs
● Step in as an additional resource when the Director of Design is unavailable
● Help protect the quality and consistency of the final design from the first deck through staging
Who We Think Will Crush This Role
● Highly organized. You can keep track of multiple projects, conversations, deadlines, and details without needing constant reminders.
● Proactive. You don’t just identify a problem—you start thinking about how to solve it.
● A strong communicator. You can communicate clearly and confidently with clients, teammates, vendors, and leadership.
● Design-minded. You notice when something feels off aesthetically and have a natural appreciation for beautiful, thoughtful spaces.
● Comfortable with change. Priorities can move quickly, and you can pivot without losing momentum.
● Collaborative. You genuinely enjoy working with a team and understand that the best projects happen when everyone communicates and supports each other.
● Resourceful. When you don’t know the answer, you know how to find it—or who to ask.
● Accountable. If you own something, the team can trust that you’ll follow it through.
● Positive and solutions-focused. We move fast, solve problems, laugh a lot, and help each other when things get chaotic.
Skills & Experience
● Strong written and verbal communication skills
● Experience working directly with clients or customers
● Strong organizational and project coordination skills
● Confidence managing multiple priorities and deadlines at the same time
● Strong problem-solving skills and the ability to think creatively under pressure
● A good eye for design and aesthetics
● Experience wit…
