Job Description
Sarah & Family Electrical Services
$25–$29 per hour | Approximately 20 hours per week | Monday–Friday
Primarily remote after in-person training | Fairfax/Burke, Virginia
Are you the person who keeps schedules organized, catches missing details, and makes sure people hear back when promised?
Sarah & Family Electrical Services is a growing, family-owned electrical contractor serving homeowners throughout Northern Virginia. We’re looking for a dependable, organized Customer Service & Scheduling Coordinator to help care for our customers and keep our daily operations running smoothly.
You’ll be a main point of contact for customers—from their first inquiry through scheduling and follow-up—and work directly with Sarah and our field electrician, Ryan. Your work will help customers feel informed and cared for while giving Ryan the schedule and job information he needs to focus on serving them.
This is a part-time, hourly employee position with a consistent four-hour daytime block each weekday. Initial training will include in-person time in the Fairfax/Burke area, followed by primarily remote work. Applicants must be able to attend training and occasional local meetings.
What You’ll Do
Customer communication
- Answer incoming calls, return missed calls, and respond to customer emails, texts, website inquiries, and Housecall Pro messages.
- Gather customer contact information, project details, photos, and availability.
- Explain our service and scheduling process using established company guidelines.
- Send appointment confirmations and communicate arrival windows, delays, inspection timing, and next steps.
- Follow up on outstanding inquiries, estimates, and scheduling requests.
- Keep communication friendly, clear, and professional, including when plans change unexpectedly.
Scheduling and field support
- Schedule estimates, diagnostic visits, service appointments, larger projects, and inspections in Housecall Pro.
- Coordinate with Sarah and Ryan to build realistic schedules that account for job duration, travel, inspections, and follow-up visits.
- Make sure each appointment includes an accurate address, clear project notes, photos, and other necessary information.
- Review the upcoming one to two weeks for scheduling conflicts, missing details, and job-readiness needs.
- Organize preliminary materials information for Ryan’s review and approval.
- Communicate schedule changes promptly and keep customers informed.
Administrative follow-through
- Keep customer records, job notes, attachments, and communication history accurate and organized.
- Track open estimates, approved work awaiting scheduling, promised callbacks, and outstanding invoices.
- Prepare routine customer messages using company templates.
- Follow unfinished tasks through to resolution and flag matters requiring Sarah’s or Ryan’s input.
- Handle customer and company information confidentially.
You’ll be trained to handle routine scheduling, communication, and follow-up independently. Ryan will handle electrical recommendations and technical decisions; Sarah will handle nonstandard pricing, financial commitments, and sensitive customer concerns. Electrical expertise is not required.
What We’re Looking For
- Experience in customer service, scheduling, dispatch, office administration, or a similar coordination role.
- Excellent written communication and a friendly, confident phone manner.
- Strong organization, attention to detail, and dependable follow-through.
- Ability to manage several customer conversations and appointments without losing track of commitments.
- Comfort working independently, learning new systems, and asking questions when needed.
- Working familiarity with Gmail, Google Calendar, Google Drive, Google Docs, and Google Sheets.
- Consistent availability for an agreed-upon four-hour daytime block Monday through Friday.
- Reliable internet and a quiet environment suitable for professional customer calls when working remotely.
Helpful, but not required: Experience with Housecall Pro or another customer-management platform, or experience supporting an electrical, HVAC, plumbing, construction, or other home-service business.
Why This Role May Be a Good Fit
You enjoy bringing order to a busy day and helping people feel taken care of. You notice when a customer is waiting for an answer, an appointment is missing information, or a promised callback needs attention—and you take the next step…
