Job Description

Legal Assistant, Personal Injury (Remote)

Location & Employment Details

  • Location: Remote
  • Employment type: Full-time
  • Schedule: Aligned to U.S. business hours (U.S. Central Time)
  • Language requirement: Fully bilingual, English and Spanish

About The Company We are a U.S.-based legal support services company, headquartered in Austin, Texas, that serves personal injury law firms across the country. We take on the administrative and operational load of a case file, from client intake and medical and billing record retrieval through case support and accounting, so the firms we partner with can stay focused on their clients and their cases.

Our team is bilingual in English and Spanish and deeply experienced in personal injury work. We operate as a true extension of the firms we support, not a detached vendor, and we are growing our bench of experienced legal professionals to keep pace with demand.

About The Role This is not a general admin position. We are hiring an experienced bilingual Legal Assistant to own a high-volume personal injury caseload end to end, as an embedded extension of the law firms we support.

The role exists because our clients run active, fast-moving dockets and need someone who already understands how a U.S. personal injury case progresses, from the pre-litigation work of building the claim through the mechanics of litigation. You will carry an active caseload of 80 or more files at a time, so we are looking for someone who can step in with minimal ramp, work accurately under competing deadlines, and move cases forward without waiting to be told.

Spanish fluency is essential, not optional. A meaningful share of the clients and claimants you will communicate with are Spanish-speaking, and clear, warm communication in both languages directly affects case outcomes and client trust.

Key Responsibilities

Pre-Litigation Case Management

  • Request, track, and organize medical records and medical bills
  • Manage insurance claims and keep claims moving toward resolution
  • Prepare settlement demand packages
  • Develop and advance cases from intake through the pre-litigation phase

Litigation Support

  • Assist with discovery, pleadings, and court filings
  • Track and manage litigation deadlines and the case calendar
  • Support deposition scheduling and preparation
  • Assist with trial preparation

Client & Insurance Communication

  • Serve as a bilingual point of contact for English- and Spanish-speaking clients
  • Keep clients informed on case status and next steps
  • Correspond and negotiate with insurance adjusters

Case Organization & Deadline Management

  • Manage an active caseload of 80 or more files at once
  • Maintain accurate, up-to-date records in the case management system
  • Prioritize competing deadlines without letting detail slip

Required Qualifications

  • At least one year of experience as a Legal Assistant, Litigation Legal Assistant, Litigation Paralegal, or in a comparable personal injury support role
  • Previous experience working for a U.S.-based personal injury law firm
  • Hands-on pre-litigation personal injury experience, including medical records, medical bills, insurance claims, settlement demands, and case development
  • Working knowledge of the personal injury litigation process, enough to operate within it; areas include discovery, pleadings, court filings, litigation deadlines, depositions, and trial preparation (we will train, but you should already understand the basics)
  • Demonstrated experience preparing settlement demand packages and communicating directly with insurance adjusters
  • Fully bilingual in English and Spanish, with the ability to read, write, and speak both fluently
  • Excellent written and verbal communication skills
  • Strong organizational skills and attention to detail, with a proven ability to manage 80 or more cases and competing deadlines

Preferred Qualifications

  • Six months or more of hands-on experience within the litigation process, not just pre-litigation. This is the strongest differentiator for this search. Candidates who pair solid pre-litigation experience with real litigation exposure will be prioritized.
  • Familiarity with common personal injury case management platforms (for example, Filevine, Litify, SmartAdvocate, CASEpeer, or Clio)
  • Experience supporting a high-volume personal injury practice
