About Us
The Bottom Line Financial & Business Services PLLC is a founder-led, fully remote Texas CPA firm serving small businesses and individuals across Texas, Florida, and New York. We run a modern stack and operate lean. This is a long-term, year-round position — not seasonal coverage — with real room to grow in hours and responsibility as the firm scales.
What You’ll Do
Administrative
- Manage the firm inbox: triage, label, route, and follow up so nothing goes unanswered
- Own the calendar — schedule client meetings, consultations, and internal blocks
- Chase client documents and signatures through to completion, including DocuSign tracking
- Prepare and send engagement letters, quotes, and client correspondence
- Maintain client records, contact lists, and onboarding checklists
- Track compliance deadlines and keep the firm ahead of them
Bookkeeping support
- Categorize transactions and clear bank feeds in QuickBooks Online
- Assist with monthly bank and credit card reconciliations
- Maintain accounts receivable and accounts payable tracking
- Prepare and send client invoices; support collections follow-up
- Flag discrepancies and uncategorized items for CPA review
What We’re Looking For
- Hands-on QuickBooks Online experience is required. You should be comfortable categorizing transactions, working bank feeds, and running reconciliations without hand-holding.
- Two or more years of administrative, bookkeeping, or professional services support experience
- Working knowledge of basic accounting concepts — debits and credits, the difference between an expense and an asset, what a reconciliation is actually proving
- Excellent written communication — you’ll be corresponding directly with clients
- Genuinely organized. You track open items to closure without being reminded
- Comfortable handling confidential financial information with discretion
- Proven ability to work independently in a remote environment
- Prior CPA firm, tax, or accounting firm experience strongly preferred
Tools We Use
