Virtual Assistant

About the role

This is a versatile position that blends customer service, light technical support, and construction project administration. You’ll be the first point of contact for many of our customers and a key support person for our estimating and project management team.

Key responsibilities

• Answer inbound calls as the first screener, gathering details, resolving simple requests, and routing calls to the right team member
• Manage the general inbox, responding to customer inquiries promptly and professionally
• Follow up with customers after installations to confirm satisfaction and address any concerns
• Schedule and confirm service appointments and site visits
• Walk customers through common troubleshooting such as password changes, battery replacements, and system resets
• Document issues and escalate more complex technical problems to our field team
• Assist with preparing and organizing technical submittals (product data sheets, specifications, shop drawings)
• Support estimators with project takeoffs and bid preparation
• Help with project coordination, including tracking schedules, reviewing purchase orders, and supporting planning activities
• Conduct market research to identify target general contractors and upcoming projects

About you

• 2+ years of experience as a virtual assistant, administrative assistant, or customer service representative
• Excellent verbal and written English communication skills
• Strong organizational skills and attention to detail
• Comfortable learning basic technical troubleshooting for customer-facing products
• Proficiency with Microsoft Office and/or Google Workspace
• Reliable high-speed internet, a quiet workspace, and a headset for calls
• Experience in construction, a trade contractor environment, or with general contractors (preferred)
• Familiarity with submittals, takeoffs, or bid preparation (preferred)
• Experience with a CRM such as HubSpot, Salesforce, or Zoho (preferred)
